Current opening: part-time administrative & Insurance coordinator
Location: Houston, TX (Remote with 2x/month in-office)
Hours: 20–25 hours/week, Monday–Friday between 8am–5pm

We’re currently seeking an organized and proactive administrative professional to support our clinical team and help keep our operations running smoothly.
About the Role
This is a remote administrative role with flexible hours within the 8am–5pm window, Monday through Friday. You’ll be the first point of contact for many of our clients and will play a key role in managing client flow, verifying insurance, and supporting the daily logistics of a thriving group practice.
You do not need prior insurance billing experience (we’ll train you) but attention to detail, strong communication skills, and a calm presence are essential.
Key Responsibilities
Respond to new client inquiries via phone, text, and email
Set up new clients with digital paperwork and account access
Manage rescheduling requests and client communications
Call physician offices to request referrals (as needed)
Call insurance companies to verify benefits
Submit insurance claims 2–3x/week
Follow up on insurance denials and resolve issues
Maintain up-to-date client and scheduling spreadsheets
Keep clinician calendars accurate with open appointment slots
Communicate issues, client feedback, and systems concerns to the team supervisor
Attend regular check-in meetings with supervisor
Represent the values and philosophy of Space City Nutrition in all communication
Maintain confidentiality and professionalism at all times
Optional/Bonus Responsibilities (if interested)
Assist with monthly newsletter or social media content
Attend local networking events on behalf of the practice
Requirements
Available Monday–Friday for at least 4 hours/day during business hours (20–25 hours/week)
Located in Houston, TX, with ability to come to the office ~2x/month for office maintenance (2180 North Loop W, Houston, TX 77018)
Detail-oriented and organized, with the ability to manage multiple calendars and client records accurately
Strong written and verbal communication
Comfortable talking to clients and healthcare providers on the phone
Tech-savvy and organized (we use Microsoft 365, SimplePractice, Excel, and Canva)
Committed to inclusive, nonjudgmental client communication
Bonus if you have experience in healthcare, insurance billing, or working with diverse populations
Compensation
$22/hour, with an opportunity to revisit after 3-6 months once fully autonomous
